Uploading files

The Files page, under Data in the left navigation, lists every file that has been uploaded to this environment. Uploading a file hands it to the agent, which reads it and offers to set up what it finds — for example stream data, tag details, reference tables, shift calendars, an asset hierarchy, or knowledge articles.

There are three ways to add files. All of them put the files into the agent’s message box as attachments; nothing is uploaded until you send the message.

  • On the Files page, click Add Files and choose one or more files.
  • Drag files anywhere onto the Files page. The page shows Drop files to add them — They go into the message bar. Send them and the agent reads each one.
  • From any page, drag files onto the message box or click Upload beside it. See Using the agent.

Then send the message. The file is stored right away and appears on the Files page. If you typed a question along with the files, the agent answers it first.

The agent can read CSV, TSV, Excel (.xlsx), PDF, Word (.docx), PowerPoint (.pptx), images (PNG, JPG, GIF, WEBP), and any plain-text file.

Uploading needs the Editor or Admin role. For Viewers, Add Files is unavailable and dropping files on the page does nothing.

While the agent reads, the conversation shows Analyzing with the file name. When it is done, it posts a What I Found card listing each thing it can set up from the files, with a summary and a preview of each. If there is nothing it can use, the card says Nothing I can set up from this file. It is stored as it is.

The agent then asks about each item in turn, in the question card above the message box (see Answering the agent’s questions). Each page asks, for example, Add this shift calendar from …?, with these answers:

  • Accept — set it up as shown in What I Found.
  • Skip — leave it out; the file keeps it.
  • Something else… — type a change. The agent applies it, shows Changed. Check it, then Accept or Skip., and you answer again.

For knowledge articles, tick the articles you want and accept only those.

The last page is Review and Publish. It lists every item with your answer; click Restore to bring back an item you skipped. Click Publish to set up every accepted item. Items you haven’t answered yet are not published and stay under Needs Review on the Files page. Publish is unavailable until you accept at least one item. If an accepted item is stream data, publishing starts loading its rows, and rows that have landed can’t be taken back.

After publishing, a card titled with the number of items published lists where each one went, with links to open it.

If you cancel the questions instead, nothing more is set up and the file waits under Needs Review; use Finish In Chat on the file’s page to come back to it.

Answering needs the Editor or Admin role, and Publish needs permission to publish. A Viewer sees what was found and answered, but can’t answer or publish.

The agent checks each file against the ones already stored:

  • Same name and same contents — nothing new is stored. The agent says I already have this one: … and asks Use what is already extracted?, showing what was taken from the file before and its status. Choose Open Extractions to go to the file’s page, or Re-extract Anyway to read it again. If nothing was ever extracted from it, the agent asks It has no extractions yet. Extract it now? with Extract Now and Not Now.
  • Same contents, different name — the agent notes the new name under Also Known As on the existing file, and doesn’t add a new row.
  • Same name, different contents — nothing is stored until you answer New Version? in the question card. Choose New Version to keep the upload as the next version of the stored file, or Separate Document to store it beside the stored one as a new file, then Continue. For tables and text files the card shows how much the two files have in common and suggests a default; for files it can’t compare, such as PDFs, there is no default.

After New Version, things extracted from the earlier version are marked Stale, and the agent asks Re-extract it now? Choose Re-extract Now to read the new version, or Later to leave it for now.

The list shows one row per file, with these columns: Name, Stored As, Format, Size, Uploaded By and Uploaded At. Use the search box to filter it, and click a row to open the file.

What you might see next to a file name:

  • A blue dot — the agent hasn’t finished with this file. Hover over it to see what is waiting, for example 3 to review, 2 accepted, not published, or Still reading the file.
  • A version label such as v2 — the same document has been uploaded more than once. Hover over it to see how many uploads there have been.
  • Contents expired — the file was loaded as stream data before uploaded files were kept. Its contents are no longer stored, but the stream it produced is unaffected.

When any files are waiting for you, two tiles appear above the list: All Files and Needs Review. Click Needs Review to show only those files, and All Files to show everything again.

If the environment has no files yet, the list shows No Files Found. — Files uploaded through the agent composer appear here.

Editors and Admins can delete files by selecting them in the list and using the delete action. Deleting a file can’t be undone.

Opening a file shows its details on the left and a preview on the right.

  • Details — the file’s name, format, size, who uploaded it and when. Also Known As lists other file names the same contents were uploaded under.
  • File Context — what the file is, and for each kind of information whether it was found in the file and whether it was extracted. If the file hasn’t been processed yet, this reads This file has not been indexed yet.
  • Extracted From This File — each thing the agent found or set up from this file, with a status. If nothing has been taken from the file, it reads Nothing has been extracted from this file yet. — that is normal for many documents.
  • Preview — text files and images are shown in place. PDFs open in a new browser tab (View PDF). Other formats show No in-browser preview for this file type. with a Download link.
Status Meaning
Proposed The agent found this in the file and is waiting for you to accept or skip it.
Accepted, Not Published You accepted it, but it hasn’t been published yet, so it isn’t live.
Published It is live in the product and still matches the file.
Edited Since Someone changed it in the product after it was published, so it no longer matches the file.
Stale A newer version of the file has different contents; this may be out of date until the file is re-extracted.
Superseded A later extraction or a newer version of the file replaced it. It stays in the list as history.
Can’t Set Up The agent found it but can’t set it up. Hover over the status to see why.
Skipped You chose not to set it up.

The detail page header offers:

  • Finish In Chat — shown when the file still has items waiting for you. It reopens the agent’s questions about this file so you can finish.
  • Extract (for a file nothing has been taken from yet) or Re-extract — asks the agent to read the file again and offer what it finds. Not offered on an older version of a document; open the current version instead.
  • Download — saves a copy of the file.
  • Delete — removes the file after you confirm Delete this file? This can’t be undone.

Finish In Chat, Extract, Re-extract and Delete need the Editor or Admin role. For a file whose contents have expired, only Delete is offered.
